Data Retention Policy

The data retention policy helps you automatically manage inactive contacts by enabling or disabling automatic cleanup, moving them to the trash bin after a period of inactivity, and permanently deleting them after a defined number of days.

Deactivate the slider → no automatic deletion of contacts happens. Activate the slider → additional configuration options become available:

You can set event data retention to control when an event is archived. The default is 30 days.

Phase 1: Move contacts to Trash Bin

When enabled, inactive contacts are automatically moved to the trash bin after a defined period (set a value between 1 and 40 months). A contact's last activity is updated whenever they interact with the system, including: attendee actions (check-in, check-out, group check-in/out), address book actions (creating or restoring a contact), and invitation-related actions (creating a contact, confirming or declining an invitation, updating invitation details, etc.).

Notifications: specify one or more recipients who should receive notifications about contacts being sent to the trash bin.

Phase 2: Delete contacts permanently

Once contacts are in the trash bin, they are permanently deleted after a defined period (default: 60 days; allowed range: 10 to 60 days). After this period, contacts are permanently deleted and cannot be recovered.

Event data retention (paid feature)

Event data retention is a paid Platinum feature. If you would like to enable this feature, please contact us.

30 days after an event ends, it will be automatically archived and its attendee data will be anonymised: attendee names and registration details are anonymised and mail statistics will be deleted.

The default value is 1 month, but you can customise how many months after the end of an event its attendee data is anonymised. If you need attendee data for a longer period (e.g. for follow-up or invoicing), increase the value before the current period has passed. This setting is separate from the automatic cleanup of contacts described above.
